The “App for That” Trap: Managing Platform Fatigue

I’ve been deep in the books lately, taking classes and expanding my skillset to better serve you. But I have a confession: I’m currently battling a case of Platform Fatigue. My eyes are puffy, and I’m experiencing brain voids more than usual.

In my quest to find the best solutions, I’ve familiarizing myself with a dozen different “free plans” for everything from project management to social media scheduling. While I love a new “toy,” even a tech-loving VA has limits! Today, we’re talking about how to handle the overwhelm of too many tools.

All the best,

The “App for That” Trap: Managing Platform Fatigue

We’ve all been there! Signing up for the latest software promising to revolutionize our workday, only to end up with ten browser tabs open and no idea where our data is stored.

As a Virtual Assistant, I know that no one can know every platform 100%. It is impossible to master them all. If you’re feeling the weight of too many logins, here is my plan to regain your sanity:

  • The One-In, One-Out Rule: Before adding a new tool to your belt, ask if it replaces something you already use. If it doesn’t solve a problem your current stack can’t handle, let it go.
  • Master the Core First: Instead of being “okay” at five tools, aim for mastery in one or two foundational platforms, like Google Workspace or Microsoft 365. You’ll actually be amazed at how much you can do inside those two environments. A virtual assistant can help you find those little nuggets of gold and put them into action while you are growing your business and help you find the right platform to scale up to when you are ready.
  • Define Your Workflow, Not the Tool: Tools should support your process, not dictate it. Write down your workflow on paper first. If a platform makes that workflow harder, it’s a “toy,” not a “tool”.
  • Accept the Learning Curve: It’s okay not to know everything. A good VA doesn’t know every button; they know how to find the answer when a problem arises and can adapt to the situation.

Remember, delegation is about gaining time, not adding more software management to your plate.

Tools Or Toys

Since I’m feeling the fatigue, this week I am sticking to the “Simple is Better” philosophy. Instead of a new platform, my “toy” this week is automating my own stuff inside Workspace. If you use Chrome or Edge, you can right-click tabs to add them to labeled, color-coded groups. It’s a built-in feature, no new account required! It has helped me segment my “learning” tabs from my “client work” tabs, keeping my digital world from feeling like a “junk drawer”.

After Hours

Here in Texas I think we really only have two seasons. Flushed and lush….then scorched and torched

. Right now we are in flush and lush, mowing twice a week, contently spraying for mosquitos, and fighting fire ants. It’s all good, I’ve already picked green beans, my butternut squash is in flower, and I’m conditioning the other garden bed to get ready for fall tomato crop. The cat colony is doing well, have about 4 to 6 new males I need to trap and release, always fun!

The best thing about spring growth on steroids is getting to drive this bad boy around!

Pixie and yours truly. One of our colony cats who almost passed from issues when young. She has a compromised system. Brought her in, she stays in most of the time now.

I love Wavebox browser

I Must Really Like The Wavebox.io Browser Julie Mathews Virtual Assistant Aug 4, 2026Issue No: 10 I was advocating for using Chrome tabs, tab groups and bookmark organization not too long ago to keep browser clutter down. But now, the Wavebox.io browser has become my default browser. I was overwhelmed when I first tried to use it, but now I use it all of the time. Wavebox solved two problems for me. It was hard for me to see and read tabs, grouped tabs, and saves time from opening windows and...

Drowning In Social

Permission To Quit A Social Platform Julie Mathews Virtual Assistant July 22, 2026Issue No: 9 If you have been feeling guilty about not posting on every platform, I am giving you permission to let one go, maybe even two. I get it, and here is what I'm learning. There are a couple platforms I really don't care for. However, when researching my target markets, I found that they use those two platforms quite regularly. Chomping at the bit, I activated accounts. Ooops. I have three platforms that...

Your Ingredient List Might Be In The Wrong Order Julie Mathews Virtual Assistant July 11, 2026Issue No: 8 It's Easy To Get Tripped Up Quick question. I’ll gear this towards human food since it’s more relatable than talking pet food, however, this applies to any food consumed by people or animals. Here’s your question: If your jam recipe calls for 2 cups of sugar and 1 pound of strawberries, which ingredient goes first on your label? If you said sugar because it comes first in your recipe, you...
